Receptionist
Your main function will be to respond to customers, identify their needs and guide them to the right resources while providing them with service that meets Lareau standards. In addition, as a receptionist, you will be called upon to provide administrative support to team members in the company’s various departments.
Your responsibilities.
Customer service
- Answer customers (incoming calls and voicemails) to identify their needs and direct them to the right department;
- Manage the various e-mail boxes and distribute requests to the right recipients;
- Distribute faxes and text messages;
- Greet visitors at the branch and settle payments where necessary.
Administrative support
- Download available insurance policies from insurers’ portals
- Enter renewal schedule data for brokers on a weekly and monthly basis
- Produce and design documents for insurers to compile completed transactions
- Coordinate the reception, sorting, scanning, filing, and sending of documents
- Conduct inventories
- Ensure daily mail processing
- Perform filing and document assembly
- Prepare renewals handled by the service team
- Carry out various follow-ups with clients to support all brokers
- Prepare and assemble the following documentation to be sent to clients:
- Insurance contracts
- Notice or exclusion letters
- Banking calendars
- Handle mail delivery
- Follow up on returned mail
- Attach policies to client files
- Verify client files
Your skills, your potential.
- Have a College or vocational diploma in secretarial or office automation;
- 0 to 2 years’ experience in a similar position;
- Experience with a multi-line telephone system (an asset);
- Demonstrate autonomy, cooperation and courtesy in working with others;
- Good stress resistance and analytical skills;
- Good computer skills (MS Office, Windows, Google);
- Be bilingual (French and English, spoken and written) to ensure an inclusive customer experience for English-speaking customers.
