Your primary role will be to respond to clients, identify their needs, and guide them toward the appropriate resources while delivering service that meets Lareau’s standards. As a receptionist, you will also provide administrative support to team members across the company’s various departments.
Responsibilities
Customer Service
- Answer incoming calls and voicemail messages to identify client needs and direct them to the appropriate department.
- Manage the different email inboxes and forward requests to the correct recipients.
- Ensure the distribution of faxes and text messages.
- Welcome visitors at the branch and process payments when required.
Administrative Support
- Download available insurance policies from insurer portals.
- Enter renewal schedule data for brokers on a weekly and monthly basis.
- Produce and design documents for insurers to compile completed transactions.
- Coordinate the reception, sorting, scanning, filing, and sending of documents.
- Conduct inventory tasks.
- Handle daily mail processing.
- Perform filing and document assembly.
- Prepare renewal files managed by the service team.
- Carry out various follow-ups with clients to support all brokers.
- Prepare and assemble documentation to be sent to clients, including:
- Insurance contracts
- Notice or exclusion letters
- Banking calendars
- Manage outgoing mail.
- Follow up on returned mail.
- Attach policies to client files.
- Verify the accuracy and compliance of client files.
Skills & Qualifications
- College or vocational diploma in secretarial studies or office administration.
- Between 0 and 2 years of experience in a similar role.
- Experience with a multi-line phone system (an asset).
- Demonstrates autonomy, collaboration, and courtesy when working with others.
- Strong stress tolerance and analytical skills.
- Solid computer skills (MS Office, Windows environment, Google environment).
- Advanced proficiency in French and intermediate proficiency in English, both spoken and written, as bilingual receptionists must interact daily with English-speaking clients.
